Hireology has partnered with ADP Workforce Now to offer a payroll option that works directly with our recruitment marketing and CRM platform. You can seamlessly transfer new hire data from your Hireology account directly into ADP.

How the Hireology // ADP WFN Integration Works
ADP is a two-way integration in which new hire data is seamlessly pushed from Hireology into ADP. The following new hire data can be sent from Hireology:
- First Name
- Last Name
- Email Address
- Home Phone
- Mobile Phone
- Address 1
- Address 2
- City
- State
- Postal Code
- Country
- Hire Date
- Onboarding Template
- Company Code
- Tax ID Type
- Tax ID
- Birthdate
- Compensation Type
- Pay Rate
- Pay Frequency
- Job Title
- Location
- Department
- Business Unit
- Gender
- Race ID Method
- Race
- Ethnicity
- Benefits Eligibility Class
- ACA Benefit Status
Any template can be used but some common ones are:
- Applicant Onboard
- HR + Payroll
- HR + Payroll + Time
- HR + Time
- HR Only
Enabling the ADP Integration
To enable this integration, Hireology customers must first navigate to the Integrations Marketplace within Hireology.
Select "Management" from the left navigation and then select "Integrations Marketplace"
"Connected Integrations" will be shown at the top of the marketplace, all other integrations options will be available below.
Select "Connect" for the ADP Workforce Now (New) integration.
Select "Unique Access Code" to generate a unique access code that will be used when purchasing the Hireology data connector within the ADP marketplace
Copy the code and then navigate to the ADP Marketplace to purchase and install the Hireology Data Connector. ADP charges a $10 per month per account fee for its users to be able to connect with Hireology through the Data Connector.
Note that once you have completed purchase of the ADP data connector, the integration will show under the "Connected Integrations" section of the Marketplace.
ADP Workforce Now (Legacy) vs. ADP Workforce Now (New) Integrations
We strongly encourage all existing users to connect to the new version of our ADP integration to take full advantage of enhanced features and expanded data mapping. This upgrade is essential for maximizing your efficiency: without it, you will miss out on the ability to utilize critical HRIS fields directly within your requisition forms and won't benefit from the full spectrum of data we now seamlessly send over to ADP. Expanded Data Fields
You can now sync more data fields than ever before to ensure a seamless flow of information between Hireology and ADP. By managing your integration settings, you can enable additional optional fields to capture more granular candidate and job data during the hiring process.
Pro Tip: If you use custom job fields or job approvals in Hireology, these can also be mapped to the new sync to ensure your internal workflows remain consistent across both platforms!
How to Enable Additional, Optional, Data Fields
Navigate to the Integration Marketplace and select "Manage" next to the ADP Workforce Now (New) enabled integration
Navigate to the Optional Fields section. Here, you will see a list of available standard and optional fields. Toggle the switch to On for any additional data points you wish to sync. Press "Save Changes" to move forward. These fields will be available to you after syncing a new hire to ADP WFN.
Syncing New Hires to ADP
To sync a new hire to ADP, first ensure that the integration is included in the hiring process of any open jobs of applicable roles. You can review how to do so here.
Once a candidate is marked as 'Hired', navigate to the "Hires" tad

Click the ‘Hires’ tab.

Select "sync" for the ADP WFN integration. You’ll be prompted to confirm the onboarding template and company code you would like to use for this hire. Your default template and company code will be selected but you can change that dropdown to select another template if necessary.
NOTE: Per ADP’s instructions, you’ll want to make sure the template you choose has the ‘Marketplace Permission’ group OR ‘Don’t inactivate or delete…’ profiles selected. To access this section in ADP, navigate to Setup > Template Management > Hire/Rehire >"Template Name" > Assign Users > Enable Practitioner profile > Don't activate... "
If you run into any issues syncing to a template, check that this group has been selected/permitted to use that template. If you do not have access to adjust those permissions, contact the main Practitioner role/Admin who manages your ADP account.
Once you confirm the template, you’ll be able to fill out the fields from that template within Hireology. Fields marked as required on the template will be marked as such in Hireology and must be filled out to sync the data to ADP WFN. Optional fields can be filled out or left blank - anything you don’t fill at time of sync can be edited on ADP WFN prior to finalizing the hire.
After you’ve entered in the necessary and desired fields, hit Sync. The data will then be transferred from Hireology to ADP. You will see the field show "Synced" once complete.

Accessing New Hire Data in ADP
After syncing each new hire, login to ADP Workforce Now and select Process from the top navigation then click Hire/Rehire under HR. You will see your new hire data displayed under the In-Progress Hires tab.
You can then edit/update the profile prior to finalizing the hire in ADP.
