Why Use Custom Job Details Pages?
- Centralized control or local flexibility, you decide — enforce a standard process across all locations or empower individual locations to tailor their own experience
- Customization — Capture exactly the information your organization needs when opening a new role, without relying on spreadsheets or outside tools
- Data Accuracy — Structured field types like dropdowns and date pickers reduce manual errors and make reporting more reliable
-
HRIS integration that works at every level — from a single HRIS system across all locations to unique configurations at each one, custom pages ensure the right fields are always captured
Types of Custom Fields
When building a custom page, you can choose from the following field types:
- Short Text — Brief freeform text input
- Paragraph Text — Longer freeform text input
- Dropdown — A predefined list where users select one option
- Radio Buttons — Single-select options
- Checkboxes — Multi-select options
- Currency — For capturing salaries, bonuses, or budget amounts
- Date — A calendar picker for date-based fields
Each field can be marked as required or optional, depending on your needs.
User Permissions for Custom Fields
By default, only the True Account Owner at each location has access to create and manage Custom Job Details Pages. To give other users access go to "Manager Users".
Select 'edit permissions' and then select 'Can manage requisition fords & Job Custom Pages".
Creating Custom Jobs Details Page
Each organization can create up to 100 custom pages, but only one page can be active at a time.
Hover over Management > Job Settings
On the Job Details tab, click "Create Custom Page"
Fill out the fields in the Custom Page Information section
Click +Add a new section with custom fields.
Give the section a name and optional description. Add your fields- choose a field type, name each field, and mark as required or optional.
Click Preview Form to review, then Publish & Exit to save.
Your custom page will now be available to set as active.
HRIS Fields
If your organization has an HRIS connected to Hireology, you can pull those fields directly into your Custom Job Details Page. This keeps data consistent across systems and reduces manual entry.
Supported integrations include:
- ADP Workforce Now
- BambooHR
- UKG Ready
- UKG Pro
Before you begin: Make sure your integration is connected in the Integrations Marketplace and that the fields you want to include are selected there first.
Adding HRIS Fields to Your Job
From your Hireology navigation menu, go to Management → Job Settings → Job Details Page.
Once there, select "+Create Custom Page
Fill out the fields in the Custom Page Information section.
Select "Add New Section with custom fields".
Click “Add Integration Fields” (bottom-right of the section).
In the “Add Integration Fields” modal: Click anywhere in the tile associated with your HRIS integration to expand it.
Check the boxes for the job-related fields you want to include (e.g., Company Code, Department, Location, Pay Frequency). Optionally, you can use “Select All” to add everything at once.
Back on the form, review the fields you added. Please note that HRIS fields are managed through your integration and cannot be edited within the form builder. Select "Preview Form" to review your fields.
Click Publish & Exit to make the changes live. Note: You can add fields from multiple integrations in one step from the modal.
By default, HRIS fields will display using the name pulled from your integration. If you'd like a field to appear differently within Hireology — for example, to match internal terminology your team is familiar with — you can edit the field title and add an optional description. This only changes how the field appears in Hireology and does not affect how data is passed back to your HRIS.
A note on dependent fields: Some integrations like ADP Workforce Now use dependent fields, where one field's options are determined by another. For example, a Department field might depend on which Business Unit is selected. Hireology manages these dependencies automatically — if you delete a parent field, its dependent fields will be removed as well.
Inheritance & Multi-Location Settings
If your organization has multiple locations, parent accounts can control whether and how custom pages are shared with child locations.
Sharing a page with children:
When creating or editing a page, you'll see an inheritance setting:
- Available at this account only — the page stays at your location and is not shared
-
Pass down to all children:
- Required — the page becomes the active page for all child locations automatically; children cannot switch to a different page
- Optional — the page is made available to children, but they can choose whether or not to activate it
Note: If a parent removes or deletes a page that was active at a child location, those children will automatically revert to the Default Hireology Page.
Allowing children to create their own pages:
Parent accounts also control whether child locations can create their own custom pages. If you haven't made this decision yet, you'll see a banner at the top of the Job Details Page tab prompting you to choose.
- Allow — Child locations can create and edit their own custom pages. Note that this setting is permanent and cannot be undone once confirmed.
- Don't Allow — Child locations can view inherited pages but cannot create or edit their own.
Active Page Logic
Each organization can only have one active page at a time. The active page determines which fields appear when a job is being created.
- By default, every organization starts with the Default Hireology Page
- To activate a custom page, click the three-dot menu next to the page and select Set as Active Page
- If a parent has marked a page as Required, child locations cannot activate a different page or revert to the default
Using Custom Fields in Approval Workflows
Custom pages work hand in hand with approval workflows. When configuring an approval workflow, selecting Job Details in the Submitters step requires hiring managers to fill out the custom page as part of their job request.
Note: Custom pages can also be used independently if your organization does not use approval workflows.
Custom Fields will be available for the submitter to fill out when opening a role on the 'Details' page.
Please note that custom fields can be used independently from approval workflows in case your team doesn't leverage this process.
Best Practices
- Use a variety of field types to make the form easier and more intuitive to fill out
- Keep field labels clear and simple — avoid internal jargon that hiring managers may not recognize
- Only ask for what you truly need; a shorter form gets filled out more carefully
- Group related fields into sections to reduce cognitive load
- Review your fields periodically to make sure they're still relevant to your hiring process
