Why do you offer background check subscriptions?
Background check subscriptions are a unique and innovative approach that we’ve developed based on our deep experience in the industries we serve. Traditionally, most background check providers charge per check and charge statutory (i.e. local government) fees separately. This can result in unpredictable, fluctuating monthly costs, making budgeting challenging for businesses.
At Hireology, we recognized that our customers needed a simpler solution. Our subscription model offers flat-rate pricing that covers both usage and anticipated statutory fees. This means you get cost certainty, easier budgeting, and a straightforward path to compliance, all without the hassle of tracking individual fees or usage.
Why choose a background check subscription over à la carte pricing?
A background check subscription gives you predictable, consistent monthly costs, including anticipated statutory fees, so you can budget with confidence and avoid surprise charges. In contrast, à la carte pricing means your expenses fluctuate each month based on usage and actual fees, making forecasting difficult and often leading to unexpected costs. With a subscription, your hiring expenses stay steady and your finance team’s planning is much simpler.
If I use fewer background checks than my allotment, do I get a refund or roll them over?
Unused background checks do not roll over or qualify for a refund. When you purchase a background check subscription with Hireology, you’re committing to an annual plan. This commitment allows us to offer lower per-check pricing and predictable monthly costs by spreading the total cost evenly over the contract term. As a result, background check allotments must be used within the subscription period and will reset upon renewal.
However, if your background check usage varies, you can still rely on Hireology. We offer an à la carte option that provides the same fully integrated background check experience within our ATS, billed on a per-check basis.
What happens if I go over my background check allotment?
If you exceed your subscription allotment, you’ll be billed for the overage at a per-check rate or given the option to upgrade to the next subscription tier to better match your hiring volume.
Why is the cost per check within subscription pricing different from à la carte pricing?
The difference in pricing comes down to flexibility and predictability.
With a subscription, you’re making a volume commitment, which allows us to offer a lower fee per check compared to the à la carte option. Subscriptions also include estimated statutory fees, the government-mandated charges that vary by state and search type, so you’re not caught off guard by extra costs.
On the other hand, à la carte pricing doesn’t include these fees upfront. Instead, they’re billed separately based on actual usage each month.
Why am I being billed even if I’m not using background checks right now?
Your subscription provides more than just background checks—it ensures you have access to Hireology’s platform, administrative support, compliance tools, and pre-paid check allotments. Even if you’re not actively running background checks, you’re reserving the capacity to use these resources whenever you need them, keeping your hiring process ready and efficient.
Can I change my plan if my hiring needs fluctuate?
Yes! Hireology subscriptions are flexible and can be adjusted to match your hiring needs. You can upgrade your plan at any time, gaining immediate access to more background checks. Downgrades, however, will take effect at the next renewal period.

How can I track the status of my background checks?
You can track the status of your background checks using the Hiring Steps tab in Insights section of Hireology. This allows you to view background checks by status, such as pending, awaiting candidate consent, or completed, across specific date ranges.
For more detailed updates, you can also check the Background Check tab within each candidate’s profile to see their individual status.
How do I track how many background checks are left in my subscription?
To track your remaining background checks, reach out to Hireology’s customer support team. They can provide real-time updates on your usage and remaining balance, ensuring you know where you stand and can plan accordingly.
