Hireology's referral program enables HR leaders to better manage their staffing needs by incentivizing employees who leverage their networks to refer great talent.
The referral platform is built directly into Hireology, allowing full control over recruitment needs across teams, departments, and locations in a simple chatbot interface that your Employees will love using. Referred applicants enter Hireology’s intuitive ATS, kicking off the hiring process. Employees will have their referrals automatically tracked to drive value for the business and top team members.

Accessing the Referrals Dashboard
Only Hireology users with admin privileges will be able to access the Referrals dashboard. Users without the appropriate permissions will see the icon but will not be able to click it. Likewise, admin users whose accounts are not set up properly will not be able to launch referrals. If you think you should have access to the referrals platform, please contact support@hireology.com.
To access Referrals, click 'Launch Referrals' in the top navigation of your Hireology account.
All open jobs will automatically appear in the 'Jobs' tab of the Referrals portal.
To track referrals and find details on each referral submitted, click the 'Referrals' tab in the side navigation.
To create, send, and track referral campaigns, click the 'Messages' tab in the side navigation.
To track bonuses that have been paid, need to be paid, or need to be updated, click the 'Rewards' tab in the side navigation. When a referral is marked as 'Hired', they will automatically be tracked and stored in the Rewards tab.
The Employee Experience
Employees, formally known as Connectors, are the people who refer candidates to your company. You can create campaigns that send your Employees a shareable link or QR code they can use to submit their referrals. When the link is clicked or the code is scanned, a chatbot will be launched where the Employee can enter the referral's details. The chatbot will collect the following information:
- The referral's name
- The job the Employee thinks the referral would be interested in
- The reason the Employee is recommending them (the referral will see this reason)
- The Employee's name and email address
- How the referral request should be sent (SMS or Email)
- The referral's phone number or email address
After submitting their referral, Employees will be presented with a screen where they can copy their QR code or referral link for further sharing.
Employees can expect email or text communication throughout the entire referral process, so they know exactly where their referral is in the hiring process. When a referred applicant is hired, the information is automatically updated in the Referrals portal. After the update is completed, the allocated incentives are processed and the Employee is notified that their referral was hired.
The Referral Experience
Once the referral is submitted, a link will be sent to the referral immediately via email or text. For SMS communication, recipients can text "Stop" at any time to opt out of further communication.
The link will launch a chatbot letting them know who referred them. The referral can select 'Yes' or 'No' to indicate their interest. When 'Yes' is selected, the chatbot will collect the following information:
- Which department they are interested in
- The referral's email address
- The referrals' phone number
After entering that information, the referral will be redirected to the company's career site to apply.
Identifying Referred Applicants in Hireology
Once the referral submits an application, all information will be collected in your Hireology account. Referred applicants will show 'EmployUs' as their source (Note: The EmployUs source name is under review and may have changed since this article was last updated).
