The Declined stage is where candidates go when you've decided not to move forward with them. The new design focuses on two key pieces of information: why the candidate was declined and whether they've received a rejection letter. This helps ensure every candidate gets a respectful, compliant experience — whether they were declined in the Applied stage or later in the process.
In this article, we will cover:
Declined Stage Overview
Key Features
Declining a Candidate
Candidates can be declined at any stage of the pipeline:
You can also decline a Candidate from the candidate drawer.
When declining, you will be prompted to:
- Select a disposition code (required)
-
Optionally send a rejection email immediately — or skip and send later from the Declined tab
Disposition Code
Each declined candidate shows the reason they were not moved forward — the disposition code — at a glance. Disposition codes help your team maintain consistent, documented records of hiring decisions, which is important for compliance and reporting.
Disposition codes are assigned at the time a candidate is declined. If a candidate was declined without a code selected, you can update it from the Declined tab.
Rejection Letter Status
A clear status indicator on each declined candidate shows whether a rejection email has already been sent. If no rejection letter has been sent, a quick-action button lets you send one immediately without needing to open the candidate's full record.
Bulk Actions — Send Rejection Emails
If you have a backlog of declined candidates who haven't received a rejection letter, use the bulk action feature to send rejection emails to multiple candidates at once. Select the candidates you want to notify, choose the rejection email template, and send in a single action.
