The goal when evaluating candidates is to determine who is the best fit for the job. Sometimes it will be apparent early on that someone is not qualified, and other times it will not become clear until later. Regardless of where the person is in the hiring process, you can decline a candidate when you decide you will not be moving forward with them.
In this article we will cover:
- Declining a Candidate
- Sending Rejection Letters to Previously Declined Candidates
- Moving Someone You've Declined Back to Candidates

Declining a Candidate
When you're ready to decline someone, click 'Jobs' and then select the role you are looking to access. From the Applied stage, you can select "Decline" from the drop-down menu.
From any hiring stage, you can decline a candidate from the candidate drawer by selecting "Decline"
You can also decline multiple candidates by clicking "Select Multiple Candidates" and then checking the boxes to select them.
Select "Decline" from the drop-down.
Review the confirmation pop-up, assigning a disposition code, if applicable. You will have the option to send a rejection letter by clicking 'Send rejection letter' in the pop-up. If you skip this step, you will still be able to send a rejection letter later.
Note: If you are sending a rejection letter after declining multiple applicants or candidates, all recipients will be bcc'd, so they will not be made aware that this is a mass email.
Review or edit the email, as needed, then click 'Send'. Candidates you've declined will now appear under the 'Declined' tab.
Sending Rejection Letters to Previously Declined Applicants
If you skipped sending a rejection letter when declining someone and would like to send one later, you will be able to. From the 'Declined' tab, click "Send Rejection Letter" to push out the email.
Moving Someone You've Declined Back to Candidates
If you ever need to move a person that's been declined back to your active candidates, that can also be done from the Declined tab by clicking the hiring stage you want to move them to from the drop-down.
