The goal when evaluating applicants and candidates is to determine who is the best fit for the job. Sometimes it will be apparent early on that someone is not qualified and other times it will not become clear until later. Regardless of where the person is in the hiring process, you can Decline an applicant or candidate when you decide you will not be moving forward with them.
In this article we will cover:
- Declining an Applicant or Candidate

Declining an Applicant or Candidate
When you're ready to decline someone, click 'Jobs' in the top, left of your Hireology account.
Next, click either 'Applicants' or 'Candidates' beside the job you would like to access.
To decline a single applicant or candidate, click the 'Decline' button to the right of their name.
You can also decline multiple applicants or candidates by checking the boxes to select them, then clicking the 'Decline' button in the heading. Note: You will be able to select multiple applicants or multiple candidates to decline in bulk but not a combination of applicants and candidates.
If Disposition Codes are turned on for your account, you will be prompted to select the reason for declining the applicant(s) or candidate(s), then click 'Move to Declined'.
You will have the option to send a rejection letter by clicking 'Send rejection letter' in the popup. If you skip this step, you will still be able to send a rejection letter later. Note: If you are sending a rejection letter after declining multiple applicants or candidates, all recipients will be bcc'd, so they will not be made aware that this is a mass email.
Review or edit the email, as needed, then click 'Send'.
People you've declined will now appear under the 'Declined' tab.
Sending Rejection Letters to Previously Declined Applicants
If you skipped sending a rejection letter when declining someone and would like to send one later, you will be able to. From the 'Declined' tab, click the email icon to the right of the person's name you'd like to contact.
You can choose the 'Rejection Letter' email template, a custom template you created, or type out your own email message.
Click 'Send' to send the email.
Moving Someone You've Declined Back to Candidates
If you ever need to move a person that's been declined back to your active candidates, that can also be done from the Declined tab by clicking the 'Move to Candidates' button. Note: You will not be able to move a declined candidate back to applicant status.
The person will once again be visible under the Candidates tab where you can resume your hiring process with them.
