Enhanced Offer Letters lets you create and send offers from Hireology, route them for internal review and signature, and track the signing process in DocuSign. Use classic eSignature for a finalized PDF or other supported document with stable wording. Use Document Generation for an editable DOCX offer that needs Hireology data, sender-entered values, or conditional clauses.

What does Enhanced Offer Letters do?
Enhanced Offer Letters connects offer creation, internal review, DocuSign signatures, and follow-up with the Hireology hiring workflow. Depending on your configuration, you can route an offer to multiple recipients in sequence, send signing notifications by text when SMS delivery is enabled, configure reminders and expiration settings, view envelope status, and use available actions such as correct, resend, or void.
Which offer-letter method should I use?
Choose classic eSignature when the offer document is already finalized and its wording stays mostly the same from one candidate to another. A PDF is a common file type for this method. Add Enhanced Onboarding- Field Map fields (attached) to the offer-details section to populate supported Hireology information.
Choose Document Generation when the offer is assembled or edited before sending. Document Generation requires a .docx file. It supports mapped Hireology fields, sender-entered dynamic inputs, and configured rules that show or hide offer text based on data. Refer to the Document Generation Field Map (attached).
The two methods use different field maps. Use the field map for the method selected in DocuSign; the maps are not interchangeable. A Document Generation DOCX template cannot be combined with a PDF template or other templates in the same packet.
What do I need before I send an offer?
Enhanced Offer Letters must be enabled for your account. It can be available as a standalone capability or alongside Enhanced Onboarding.
The job must include an Offer Letter hiring step in its In Progress stage. The hiring step makes the offer-letter action available for candidates in the Candidate Pipeline.
How do I create and send an offer?
Create an offer-letter template from Management > Documents > Templates > Create New Template. Select Offer Letter, confirm recipients, enter the email subject and message, and continue to DocuSign to upload the document. The uploaded file determines whether DocuSign opens classic eSignature or Document Generation.
- Refer to "How do I create and send a DOCX offer letter with Document Generation" for step by step instructions for building and sending a Document Generation offer letter.
- Refer to "How do I create and send a PDF offer letter with classic eSignature" for step by step instructions for building and sending a classic eSignature offer letter.
To send an offer, open an In Progress candidate, select Offer Letter under Hiring Pipeline, choose the template, and review the candidate data and recipients.
Customize reminder and expiration settings. Select Continue and then, if applicable, decide if you would like to send the offer letter and move the candidate into the offer letter step or to send without moving the candidate.
Continue to DocuSign, verify the offer and signing order, preview the document, and send the envelope only when all required information is accurate.
For complete instructions, see Create and Send a PDF Offer Letter with Classic eSignature or Create and Send a DOCX Offer Letter with Document Generation.
How can I track or manage an offer after sending it?
Offer status and available actions depend on the envelope's current state. Depending on status, you may be able to:
- Correct eligible offer content or recipient details before the envelope is complete. The offer may be temporarily unavailable while a correction is in progress.
- Resend an existing request when the envelope is in a resendable state. Completed and voided envelopes cannot be resent.
- Void an active offer that is withdrawn, replaced, or no longer valid.
- Delete a draft or active offer letter from the active workflow when it is no longer needed.
