Your Hireology account includes a library of pre-written email templates. You are free to customize these templates or create your very own!

Editing an Existing Template
Each pre-written message template is associated with an action you can take on an applicant or candidate. It's good to keep that in mind when editing any of the built-in templates.
To edit an existing template, click 'Hi' and select 'Settings'.
Next, select the 'Email Templates' tab.
Click on the name of the template you would like to edit to open the editing tool. You can make changes to the Title (this is what you see internally), Subject (this is what applicants and candidates see), and Body of the template. To make use of details that can be automatically populated, please refer to the Dynamic Fields section.
Take advantage of the updated text editor as well as AI options available.
Click 'Save' to save your changes.
Creating a New Template
You can also create your own email templates. This is a great option for when you would like to have different versions of an existing email template (e.g. different Offer Letter templates) or want to create a template for a custom message that you send frequently.
To create a new template, click 'Create a New Email Template' at the bottom of the Email Templates page.
Enter a Title, Subject, and Body. To make use of details that can be automatically populated, please refer to the Dynamic Fields section.
Click 'Save' to save your changes.
Dynamic Fields
Dynamic Fields enable you to add unique details and personalize messages without having to remember or look for certain information every time you send a message. When creating a message template, you can copy a Dynamic Field from the list towards the top left of the page and paste it into the message. The field will automatically be replaced with the correct corresponding information when sending the message.
The following Dynamic Fields are available in your Hireology account:
- [Candidate First Name]
- [Candidate Full Name]
- [Sender Full Name]
- [Sender Email]
- [Company Name]
- [Job Name]
- [Hiring Manager]
- [Survey Link]
- [Company Address - Street]
- [Company Address - City]
- [Company Address - State]
- [Company Address - Zip/Postal]
- [Current Date]
Attaching Files
If you would like to include an attachment with a message template, you can do so by clicking 'Attach File to Email'.
Follow the prompts to Browse your computer for the desired file, then click 'Upload'. Acceptable file types for message template attachments are doc, docx, pdf, and txt.
Be sure to click 'Save' to save your changes!
Deleting a Template
It is not possible to delete any of the default email templates but you can delete email templates you created. To do so, scroll down to the Custom Templates section at the bottom of the Email Templates page and click 'Delete' beside the template you want to remove. Please note, you will not be able to restore a message template once it has been deleted.
Note: For accounts with multiple locations, you will need to navigate to the individual location and repeat the process to delete message templates for each location.
