AI Interviews replace the first-round phone screen with a voice interview candidates complete on their own schedule. Every candidate answers the same structured questions, and your team gets a score, a written summary, and a full transcript to review. No calendars to coordinate, and no phone screens on your recruiters' schedules.
AI Interviews is available as an add-on purchase for Perform Package customers.

Setting up AI Interviews
Before you add an AI Interview to a job, set up three things under Management > AI Interviews: an Agent, an Interview Guide, and your Branding.
Creating Agents
An Agent is the AI persona that conducts your interviews. Each Agent has a name, voice, and personality. For multi-location organizations, inheritance settings allow you to control which locations can access and use each Agent.
Accessing the Agents tab
Agents can be created and managed from AI Features.
From the left navigation, select AI Features, then open the Agents tab. If no Agents have been created, you will see an empty state with a Create Agent button.
Creating a new Agent
An Agent is the AI interviewer your candidates talk to. It has a name and a voice.
- Go to Management > AI Interviews > Agents and click New Agent
- Give your Agent a name, such as "Alex." Candidates may see this name.
- Pick a voice. You can filter voices by gender, accent, and language, and preview each one before you choose.
- Click Save.
Multiple locations? You can make an Agent available at your account, pass it down to all child locations, or both. When you pass it down, choose whether child locations can turn it off. Locations that inherit an Agent can view it but can't edit it.
Editing or deleting an agent
To update an existing Agent, select the edit (pencil) icon on the Agent card to reopen the setup panel.
To remove an Agent, select the options menu (⋮) and choose Delete. If the Agent has been shared with child organizations, you will be prompted to confirm before removing it.
Inherited Agents
Child organizations can view inherited Agent settings in read-only mode and disable Agents when the parent organization has selected Can Disable.
Inherited Agents cannot be edited, including the Agent name, voice, or other settings.
Creating Interview Guides
An Interview Guide is the set of questions your Agent asks.
- Go to Management > AI Interviews > Interview Guides and click New Guide.
- Name the guide, such as "RN Phone Screen."
- Add an opening and closing statement for the Agent to read. End your opening statement with a question like "Are you ready to begin?"
- Click Add Question to build your questions, and drag and drop to reorder them.
There's no limit on the number of questions in a guide. Every AI Interview has a 25-minute time limit. Each question is one of three types:
| Question type | Scored? | Follow-up questions | Use it for |
| Information | No | None | Facts like availability, certifications, or work authorization |
| Assessment | Yes, 1 to 5 | Up to 2 (you choose) | Role-specific knowledge or skills |
| Behavioral | Yes, 1 to 5 | Up to 2 (set automatically) | Real examples from past experience, scored with the STAR method |
For Assessment questions, you describe what a 1, 3, and 5 answer looks like so the AI scores consistently. Behavioral questions use a standard STAR rubric (Situation, Task, Action, Result).
Start faster with Generate with AI. Select Generate with AI and either upload a job description or your own list of interview questions (PDF or Word, up to 10MB), or pick one of your job templates.
The AI drafts your opening statement, questions, and closing statement for you to review and edit. A job description produces up to 5 questions for a short screen. A list of your own questions carries over up to 20, kept close to your wording. Uploaded files are used only to draft the guide and aren't stored.
Use the Edit or Delete buttons to customize what you see. Select Add to Guide to add the questions and then Create Guide to save the interview guide.
Built-in EEO question check. Every question is reviewed when you save it. A red flag means the question can't be saved as written, so revise it. A yellow flag is advisory: you can still save, and your acknowledgment is recorded. This check is a helpful guide, not a legal certification. Talk with your HR or legal team about role- and location-specific requirements.
Guides used on more than one job. When you edit a guide that's assigned to several jobs, you can save the changes for all of those jobs or save them as a new guide. A guide that's assigned to a job can't be deleted. Remove it from the job first, or deactivate it.
Interview duration estimates
The Interview Guide builder provides an estimated interview duration that updates as questions are added or removed.
AI Interviews have a 25-minute maximum session length.
Guides with seven or fewer questions save without a warning. Guides with eight or more questions display a warning that candidates may not have enough time to complete all questions, but the guide can still be saved.
Inherited Interview Guides
For organizations with multiple locations, Interview Guides follow the same inheritance settings as Agents.
Parent organizations can choose whether guides are available to child organizations and whether child organizations can disable them.
Child organizations can view inherited guides, including questions and rubrics, in read-only mode but cannot edit them.
Brand your Candidate Experience
Go to Management > AI Interviews > Branding to make the interview look like your company. You can set four things:
- Logo: JPG, PNG, GIF, SVG, or WEBP, at least 200 x 200 pixels and up to 10MB.
- Color palette: your brand color plus a background theme (Light, Dark, Brand, or Soft). Button and text colors adjust automatically so they stay readable.
- AI Interview support contact: the email address candidates see if they have questions. If you leave it blank, candidates see the job's hiring manager.
- Welcome video: a Vimeo, Loom, or YouTube link that plays before the interview. Vimeo and Loom are ad-free. YouTube may show ads. Keep the link active, since a removed video shows candidates an empty player.
A live preview shows the landing page, questions, and success screens as you make changes. Multi-location businesses can share each setting with child locations and decide whether those locations can override it.
Availability
If AI Interview Branding is not included in your subscription, the Branding tab will display a Learn More page instead of the available configuration settings.
Adding an AI Interview to a Job
- Open the job and go to Hiring Steps (step 3 when creating or editing a job).
- Click + Add another hiring step and choose AI Interview.
- Choose an Agent and an Interview Guide. Need a new one? Click + New to create it without leaving the job.
- Click Add Hiring Step. You can reorder or remove it like any other hiring step.
Send interviews automatically
Click the lightning bolt icon on the Applicants stage and choose Send AI Interview Invitation. Then pick when invitations go out:
- After a candidate passes your prescreen: set a minimum prescreen score between 50% and 85%.
- When a candidate applies: every applicant gets an invitation, with no prescreen required.
Choose email or text, and set a maximum number of interviews (up to 100). When you reach that number, automatic sending stops and your hiring team is notified. Automatic sending works best for high-volume roles where screening should start without anyone on your team taking action.
Send interviews manually
Open the candidate's profile, go to the AI Interview step, and click Send AI Interview. Choose email, text, or both, and edit the message if you'd like. Invitations expire after 7 days. Resending gives the candidate a fresh 7 days, which also works for a candidate who needs another try.
Candidate Experience
- The invitation arrives by email or text with the interview link, when it expires, and a note that AI is part of the process.
- No account needed. The interview works in any phone or computer browser.
- Your landing page shows your branding, welcome video, the estimated length, and a choice of 50+ languages.
- A quick setup with a microphone test and an unscored practice question.
- The interview. The Agent asks each question out loud and may ask up to 2 follow-up questions on Assessment and Behavioral questions. It never shares how answers are scored. Captions are always on, and a countdown appears in the last 5 minutes.
Help is always available. Candidates can ask the Agent to repeat a question, give them a moment, or speak more slowly. If they need more help, they can request a human alternative or other assistance at any time. That stops the interview, lets them add a note explaining what's going on, and emails your hiring team. The candidate's status changes to Assistance Requested.
If a candidate loses their connection, closes the window, or leaves before finishing, the interview is marked Incomplete. Candidates who leave on purpose can add a note, and your hiring team gets an email with it. Resend the invitation to let the candidate start over.
Reviewing Results
Check the status on the pipeline. Jobs with an AI Interview step get an AI Interview column on the pipeline board. The column shows each candidate's status, not their score:
- Not Sent: no invitation has gone out yet.
- Invite Sent: the candidate has the invitation but hasn't started.
- In Progress: the candidate is taking the interview now.
- Incomplete: the candidate left before answering every question, closed the window, or lost their connection. You can resend the invitation so they can start over.
- Completed: the candidate finished. Open their profile to see the results.
- Assistance Requested: the candidate asked for help or a human alternative, and your hiring team was emailed.
See the score on the candidate's profile. Open the profile and go to the AI Interview step to see:
- Overall score out of 100, based on Assessment and Behavioral questions only.
- Question-by-question results with the AI's score and the reasoning behind it.
- Overview: an AI-written summary of how the candidate did.
- Transcript: the full conversation, including follow-ups. Interviews in another language can be translated to English with one click.
Incomplete interviews aren't scored. Resend the invitation to give the candidate a fresh start.
You make the final call. To change a score, adjust it on any Assessment or Behavioral question and add a note explaining why. Your score replaces the AI's score in the overall total, and the change is recorded in the candidate's activity history with your name and the date.
Notifications
- Candidates get the invitation by text or email from the hiring manager.
- Your hiring team gets an email when a candidate completes an interview, requests assistance during the interview, or leaves early and adds a note. Notes from candidates are included in the email.
Every event is recorded in the candidate's activity history.

Frequently Asked Questions
Q: What AI model powers AI Interviews?
A: AI Interviews use Azure's gpt-realtime-1.5 model.
Q: How long is an AI Interview?
A: Approximately 10–15 minutes depending on the number of questions and candidate responses. A 25-minute hard cap applies to all sessions.
Q: What languages are supported?
A: 50+ languages including English, Spanish, French, German, Portuguese, Mandarin, Arabic, Hindi, Japanese, and more. Candidates can select their preferred language from the interview landing page.
Q: Can recruiters override AI scores?
A: Yes. Recruiters can adjust any Assessment or Behavioral question score on the results panel. A required note must be entered before the override is saved.
Q: What happens if a guide or agent is deleted while a job is active?
A: Both are soft-deleted. Any candidate currently in progress continues their interview unaffected using the deleted item. New candidates will need a replacement guide or agent configured on the job.
Q: What happens if a candidate doesn't answer a question?
A: Unanswered or declined questions appear as blank rows in the results table with a "—" score. If any questions go unanswered, the aggregate score displays as "—" rather than a numeric value.
Q: Can candidates retake an AI Interview?
A: Not by default. If a candidate needs another chance, a recruiter can manually resend the invitation link.
Q: Is AI Interviewing compliant with EEO laws?
A: Hireology's Interview Guide builder includes an automated EEO compliance check that flags potentially non-compliant or irrelevant questions before they are used. This check is a best-effort tool — not a legal certification. We strongly recommend consulting your HR or legal team for guidance specific to your roles, industry, and state. Hireology conducts regular bias audits through Warden AI.
Q: What is an Automated Employment Decision Tool (AEDT) and does AI Interviewing qualify?
A: AI Interviews score candidates but do not make automatic advancement or rejection decisions — a recruiter reviews all results and makes the final call. This distinction is important for compliance with laws like NYC Local Law 144. Hireology does not support automating hiring decisions based solely on AI Interview scores at this time.
